Status: Regular, Full-time non-exempt,
Schedule: 40 hours per week, Monday – Friday, Onsite
Pay Rate: $19.00 - $21.00 per hour. The rate of pay offered will vary depending on job-related knowledge, education, and experience and take into account internal equity.
Position Summary:
The Assistant Group Reservations Coordinator performs complex group reservation duties to facilitate Education programming aboard the aircraft carrier. Provides customer service to school educators and youth group leaders across the country to support our on-board and distance learning programming. The position requires detailed planning, clear communication and self-directed follow up. Provides administrative, office, and technical support to program managers and museum educators.

- Successful coordination of accurate and complete group reservations.
- Excellent customer service ensuring group guests have a positive experience by effectively communicating and addressing their needs and concerns promptly and professionally.
- Detailed and accurate records of reservations, contracts, purchase orders and payments.
- Materials and supplies for programs are stocked and prepared.
Summary Of Job Responsibilities
- Create detailed group reservations for onboard school groups and youth overnight groups.
- Coordinate payment arrangement including deposits, monies owed, credit card payment processing and purchase orders.
- Communicate electronically and telephonically with school groups to answer questions and provide pre- and post-visit information, program materials, and teacher feedback surveys.
- Greet school groups upon arrival.
- Coordinates with accounting department to reconcile financial transactions.
- Manage program supply inventory.
- Provide office support to program staff, and monitor department technology.
- All other duties, as assigned.
Knowledge, Skills, and Abilities Required:
Education/Experience:
- High School Diploma
- One year of customer service experience.
- Prior experience working in informal education tour and program reservations preferred.
Skills/Abilities:
- Proficiency in MS Office Excel, Power Point and Word, Teams and/or Zoom.
- High degree of accuracy and attention to detail
- Excellent customer service skills
- Excellent administrative, written, and verbal communications skills, including problem-solving.
- Ability to work in a self-initiating business environment.
- Team player – ready and willing to help wherever needed or assigned.
Working Conditions:
- Job Conditions/Work Location: Work is performed aboard the USS Midway in former administrative offices restored to basic working conditions.
- Physical Requirements: Sit or stand for long periods of time. Ability to climb up and down stairs and ladders; to bend, stoop, and lift standard office supplies and small office items.
- Equipment Operated: Computer, printers, radio, telephone, copier, and scanner.
