Development Coordinator

SAN DIEGO, CA

The Development Coordinator supports the organization’s fundraising efforts by accurately processing and acknowledging gifts. This role ensures donor data integrity, manages timely acknowledgements and recognition, assists with events and campaigns, and provides administrative support to the Development team.

Success Factors 

  • Gifts are processed and acknowledged promptly and accurately, with all donations entered and personalized acknowledgements mailed within 48 hours, reinforcing donor trust and appreciation.
  • The CRM is consistently accurate and up to date, with ongoing data maintenance and cleanup ensuring reliable information for reporting, appeals, and stewardship efforts.
  • Donors feel valued, recognized and well-informed, reflected in timely, personalized communications and strong retention and engagement outcomes that support the organization’s fundraising goals.
  • Fundraising events and campaigns run smoothly and effectively, with the Development Coordinator providing dependable support for logistics, materials, and communications that contribute to successful outcomes.
  • Department operations and collaboration are seamless, with proactive coordination, attention to detail, and strong administrative support enhancing the effectiveness of the Development team.

Summary of Responsibilities:

  • Records all gifts accurately using CRM.
  • Selects, prepares, proofreads, and sends appropriate individualized acknowledgements for all gifts based on predetermined criteria.
  • Processes and handles credit card information securely and accurately.
  • Ensures acknowledgement letters are accurate and complete for donors and mailed out within 48 hours of receipt of gift.
  • Processes data being communicated between Galaxy and CRM.
  • Generates accurate donor lists/reports for use in annual appeal, campaigns, recognition, and internal/external communications.
  • Conduct donor prospecting and research, identifying potential new supporters and providing insight to guide cultivation strategies.
  • Maintains and performs record and data cleanup/updates in CRM to ensure consistency and integrity.
  • Serves as a liaison for all CRM and donor relations questions, internally and externally.
  • Supports special events, including ticketing and sales, invitation preparation, website updates, and event logistics support.
  • Assist with donor stewardship activities, including calls, thank-you notes, and recognition.
  • Assist the department in all areas of communications including website updates, video development, PowerPoint, assignments on print and online projects.
  • Answer phone calls, process mail, order office supplies, and maintain department files.
  • Coordinates revenue reconciliation with the accounting department, as needed.

Knowledge, Skills, and Abilities Required:

 Education/Experience:  

  • Four-year college degree or equivalent combination of education and experience.
  • 1–3 years of experience in a development/fundraising role. 

Skills/Abilities: 

  • Computer skills to include proficiency in MS Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Experience working with CRM (Microsoft Dynamics preferred).
  • Proficiency with Canva or similar design tools.
  • Accuracy and high attention to detail.
  • Analytical skills for data management and donor research.
  • Ability to interact with a wide variety of individuals in a professional manner.
  • Excellent customer service skills.
  • Excellent verbal and written communication skills.
  • Ability to handle multiple priorities and deadlines.
  • Team-oriented, flexible, and proactive problem-solver.

Compensation & Benefits:

  • Full-time, non-exempt /benefited position.  
  • Compensation – $27.00 per hour
  • Medical, dental, vision, legal, and life/LTD insurance.
  • 403(b) retirement plan matching 100% of the employee contribution up to 6%, with immediate vesting.

Work Schedule 

  • 100% onsite – a typical schedule is Monday - Friday 8:00am- 4:30pm. 
  • Occasional evenings / weekends required for events 

Working Conditions:

  • Job Conditions/Work Location: Work is performed aboard the USS Midway in former administrative offices restored to basic working conditions.
  • Physical Requirements:  Sit for long periods of time.  Ability to climb up and down stairs and ladders; to bend, stoop, and lift standard office supplies and small office items.
  • Equipment Operated: Computer, facsimile, printer, scanner, telephone.
